Because our services often involve customized work, dedicated resources, planning, development time, design work, and third-party expenses, refunds and cancellations are subject to the terms outlined below.

By placing an order or making a payment to WebMalwa, you acknowledge and agree to this Refund & Cancellation Policy.

1. Scope of This Policy

This policy applies to services provided by WebMalwa, including but not limited to:

  • Website Design & Development

  • Business Website Development

  • eCommerce Website Development

  • Shopify Store Development

  • Shopify Theme Customization

  • Website Redesign

  • Landing Page Development

  • Graphic Design

  • Logo Design

  • Branding & Identity Design

  • Social Media Creative Design

  • Brochure, Flyer & Poster Design

  • Printing Services

  • Website Maintenance & Support

  • SEO-Friendly Website Development

  • Other customized digital, design, and printing services

2. Customized Services

Most WebMalwa services are customized according to the individual requirements of each client.

Once work has started, resources may be allocated specifically to the project, including:

  • Designers

  • Developers

  • Project managers

  • Content resources

  • Hosting or technical resources

  • Printing materials

  • Third-party applications or services

Therefore, payments for customized work are generally non-refundable once the corresponding work has commenced, except where WebMalwa agrees otherwise in writing or where a refund is required under applicable law.

3. Advance Payments

WebMalwa may require an advance payment before beginning a project.

The advance payment may be used to:

  • Reserve project resources

  • Begin design and development

  • Purchase or configure project-related services

  • Start content or creative work

  • Purchase third-party services where required

Once project work has commenced, the advance payment may become non-refundable because work and resources have already been committed.

The exact payment schedule may vary depending on the project and will be communicated in the quotation, proposal, invoice, or agreement.

4. Cancellation Before Work Begins

If a client requests cancellation before WebMalwa has started work, the refund eligibility will be reviewed based on the project status and expenses already incurred.

Any applicable refund may be subject to deduction of:

  • Payment gateway charges

  • Domain registration charges

  • Hosting charges

  • Third-party service charges

  • Administrative or processing costs

  • Any other non-recoverable expenses

Where work has already started, the cancellation will be handled according to the provisions for work-in-progress projects.

5. Cancellation After Work Has Started

If a client cancels a project after development, design, planning, content creation, or other project work has started, the amount already paid will generally not be refundable.

If an outstanding balance is due for work already completed or committed, the client may still be responsible for the applicable amount.

Where appropriate, WebMalwa may provide completed project files or deliverables corresponding to the amount of work that has been paid for, subject to the applicable project agreement.

6. Website Development Projects

Website development projects involve multiple stages, including planning, design, development, testing, content integration, revisions, and deployment.

Refunds will generally not be available for:

  • Completed design work

  • Completed development work

  • Approved website sections

  • Completed pages

  • Custom functionality already developed

  • Domain registration

  • Hosting purchases

  • Premium themes or plugins

  • Third-party software or services

  • Work already delivered to the client

If a client decides to discontinue the project after work has commenced, WebMalwa may calculate the value of completed work and non-refundable expenses before determining whether any amount is eligible for refund.

7. Shopify Projects

Shopify development projects may involve Shopify subscriptions, themes, apps, integrations, payment gateways, domain services, and other third-party services.

WebMalwa cannot guarantee refunds for charges imposed by Shopify or other third-party providers.

Third-party charges are governed by the respective provider's refund and cancellation policies.

Payments made to WebMalwa for completed Shopify development, customization, configuration, or integration work are generally non-refundable once the work has commenced.

8. Graphic Design & Branding Services

Graphic design projects may include:

  • Logo design

  • Brand identity

  • Social media creatives

  • Brochures

  • Flyers

  • Posters

  • Banners

  • Packaging designs

  • Business cards

  • Other creative materials

Once design work has commenced, payments are generally non-refundable.

Clients will receive the number of concepts and revisions specified in their quotation or service package.

Requests beyond the agreed scope may incur additional charges.

9. Printing Services

Printing orders are generally non-refundable once production has started.

Before printing, clients are responsible for carefully checking and approving:

  • Spelling

  • Names

  • Phone numbers

  • Addresses

  • Dates

  • Prices

  • Images

  • Logos

  • Colours

  • Dimensions

  • Quantity

  • Other printed information

Once the client provides final approval, WebMalwa will proceed with production.

WebMalwa will not normally be responsible for errors that were present in the client-approved artwork.

Printing Defects

If a significant manufacturing or printing defect occurs due to an error attributable to WebMalwa or its printing partner, the issue will be reviewed.

Where appropriate, WebMalwa may offer:

  • Reprinting

  • Replacement

  • Correction

  • Partial refund

The appropriate resolution will depend on the nature and extent of the issue.

Minor variations in colour, paper texture, cutting, finishing, or print appearance may occur due to differences between digital screens and physical printing processes and may not automatically qualify for a refund.

10. Revisions and Change Requests

Each project may include a specific number of revisions as mentioned in the quotation or service agreement.

A revision means a reasonable modification to the agreed design or functionality.

Requests that significantly change the original project scope may be treated as additional work and may require additional payment.

Examples include:

  • Changing the complete website structure

  • Adding new pages outside the agreed scope

  • Adding new functionality

  • Changing the approved design direction

  • Requesting additional design concepts

  • Adding new integrations

11. Client Delays

Project timelines depend on timely cooperation from the client.

Delays in providing:

  • Content

  • Images

  • Product information

  • Login credentials

  • Approvals

  • Feedback

  • Payments

  • Other required information

may result in project delays.

Such delays do not automatically create a right to a refund.

12. Project Approval

Before final delivery or launch, WebMalwa may provide the client with an opportunity to review the project.

Once a website, design, Shopify store, or other deliverable has been approved by the client, subsequent changes may be treated as additional work if they fall outside the original scope.

13. Domain, Hosting & Third-Party Services

Some WebMalwa projects may require third-party services such as:

  • Domain registration

  • Web hosting

  • Shopify subscriptions

  • Premium themes

  • Plugins

  • Applications

  • Payment gateways

  • Email services

  • Stock images

  • Software subscriptions

  • Other external services

Fees paid to third-party providers are generally subject to their respective policies and may not be refundable by WebMalwa.

WebMalwa will not be responsible for refunds denied by third-party providers.

14. Subscription & Recurring Services

For recurring services such as:

  • Website maintenance

  • Hosting

  • SEO

  • Digital marketing

  • Subscription-based services

  • Other ongoing services

cancellation requests should be made before the next billing or service period wherever possible.

Payments for a service period that has already commenced may not be refundable unless otherwise agreed in writing.

15. Non-Payment & Project Suspension

If a client fails to make a payment according to the agreed payment schedule, WebMalwa may temporarily suspend project work or access to certain services until outstanding payments are received.

Project delays caused by non-payment will not be considered a WebMalwa service failure.

Additional costs resulting from prolonged delays or project reactivation may apply where applicable.

16. Refund Processing

If WebMalwa approves a refund, the refund will generally be processed using the original payment method where technically possible.

The time required for the refund to appear in the client's account may depend on:

  • Payment gateway

  • Bank

  • Card issuer

  • UPI provider

  • Other financial institution

Third-party processing times are outside WebMalwa's direct control.

17. No Refund for Change of Mind

A refund will generally not be provided solely because a client:

  • Changes their business plans

  • Changes their mind about the project

  • No longer requires the service

  • Finds another service provider

  • Changes their preferred design direction after approval

  • Decides not to use the completed website or design

However, WebMalwa may review exceptional situations at its discretion.

18. Service Quality Concerns

If you believe that a delivered service does not meet the agreed project scope, please contact WebMalwa as soon as possible.

We will review the concern and, where appropriate, attempt to resolve it through:

  • Corrections

  • Revisions

  • Technical fixes

  • Additional clarification

  • Replacement of defective deliverables

  • Another mutually agreed solution

The remedy will depend on the nature of the issue and the terms of the applicable project agreement.

19. Refund Exceptions

In exceptional circumstances, WebMalwa may consider a partial or full refund at its discretion.

Any such refund will be evaluated based on factors including:

  • Project status

  • Work completed

  • Client approvals

  • Third-party expenses

  • Resources already allocated

  • Nature of the cancellation

  • Applicable contractual terms

An exceptional refund does not create an obligation to provide the same refund in another situation.

20. How to Request a Refund or Cancellation

To request a cancellation or refund, contact WebMalwa with:

  • Service purchased

  • Payment date

  • Reason for the request

By purchasing services from WebMalwa or making a payment toward a project, the client acknowledges that they have read and understood this Refund & Cancellation Policy and agree to the applicable terms.

Where a separate written quotation, proposal, service agreement, invoice, or contract contains specific refund or cancellation terms, those agreed terms may apply to the relevant project.
